We are currently looking to hire a part-time Office Assistant who will be responsible for performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to customers. This position supports the outside sales representative group as well as supports and works directly with customers.  Training will be provided, activity based bonuses and possible move to Outside Sales Representative based on growth and potential. 

What you will be doing

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Process returns, enter orders, and create items.
  • Create, maintain, and enter information into databases.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Maintain scheduling and event calendars.
  • Complete forms in accordance with company procedures.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Make copies of correspondence or other printed material.
  • Verify shipping
  • Follow up on due-to-order
  • Perform customer service activities
  • Assist office personnel with administrative tasks

What you will need

  • 1 or more years of general office experience.
  • High School diploma.
  • Proficient knowledge in Microsoft Office and accessing and using the Internet.
  • Knowledge of Salesforce.com or other CRM related applications.
  • Knowledge of Microsoft Dynamics NAV is preferred
  • Excellent verbal skills – ability to speak clearly, confidently, and professionally both on the telephone and in-person.
  • Writing skills – ability to write clearly and succinctly.
  • Positive attitude, team oriented, self-starter who can work alone and in a collaborative manner to achieve team goals.
